A heat pump is one of the lowest-maintenance heating systems you can own. Low maintenance is not the same as no maintenance.

A heat pump is one of the lowest-maintenance heating systems you can own. Low maintenance is not the same as no maintenance. The single most common question we hear from Scottish homeowners, both before they buy and a year or two after, is the same: how often does it actually need servicing, and what does that cost? The short answer is once a year. The longer answer, including what a proper service covers, who is legally allowed to do it, and what you can safely handle yourself, is below.
This guide is written for Scottish conditions and for the systems we install, which are air-to-water air source heat pumps feeding radiators, underfloor heating and hot water. The advice for an air-to-air unit, the kind that doubles as air conditioning, is different, so this focuses on the type most Scottish homes actually have.
A heat pump has far fewer moving parts than a gas boiler and no combustion, so there is no annual gas safety check to worry about. That leads some people to assume it can be fitted and forgotten. It cannot. The electrical connections, the water side of the system, the pressures, the airflow and the outdoor unit itself all drift over time, and a yearly check is what keeps them in line.
There are two hard reasons to bother. The first is efficiency. A heat pump running a clogged filter, low on system pressure, or sitting behind a blocked outdoor unit quietly works harder for the same heat, and that goes straight onto your electricity bill. A poorly maintained system can use up to a quarter more electricity than a healthy one, which over a Scottish heating season is real money. Once a year. That is the standard across the industry and what nearly every manufacturer asks for. The best time to book is late summer or early autumn, before the Scottish winter puts the system under real load. Get it checked in September and any fault is found and fixed before you need the heating, not halfway through a cold January.

A proper service is more than a quick look and a tick-box. The Heat Pump Association published an updated annual service checklist for air-to-water systems in early 2025, and a thorough visit follows that kind of standard. Expect the engineer to cover:
That last point matters more than people expect. The written record is what protects your warranty and reassures a buyer if you ever sell the house.
This matters more than the legal picture suggests. Most air-to-water heat pumps in Scotland are monobloc units with a refrigerant circuit sealed at the factory, and many of the newer ones, including the Vaillant aroTHERM plus, run on R290, a natural refrigerant that sits outside F-Gas regulations altogether. A routine service does not open that circuit, so in principle a competent heating engineer can carry out the water-side, electrical and airflow checks.
The catch is that a checklist is not a diagnosis. There is a real difference between someone ticking boxes and an MCS-registered engineer who understands the refrigeration cycle and how the whole system behaves, and who can spot an efficiency problem or a developing fault that a general plumber would walk past. It also protects your guarantee: most manufacturers, Vaillant included, require the service to be carried out by an MCS-registered engineer to keep the extended warranty valid. A one-off heat pump service in Scotland typically costs somewhere around £150 to £300. Where it lands depends on the system and what is covered: a service that includes the hot water cylinder as well as the heat pump sits at the higher end. The price normally covers the labour and the full check, with any replacement parts quoted to you before the work is done.

The strongest financial argument for servicing is the warranty. Most heat pump warranties run 7 to 10 years, and the majority are only valid if you keep up a documented annual service. Vaillant units, for example, come with a two-year guarantee as standard that extends to seven years through an approved installer, conditional on that yearly maintenance. Miss a service and you risk being uncovered at exactly the wrong moment, with a repair bill you would otherwise never have paid.

You do not need an engineer for the basics, and a little attention between visits keeps the system healthy.
Anything involving the refrigerant, the sealed system or the electrical internals is a job for a qualified engineer, both for safety and to keep your warranty valid. When in doubt, leave it for the annual visit.
A heat pump that is serviced once a year by a qualified engineer should run reliably and efficiently for 15 to 25 years. One that is left alone loses efficiency, risks its warranty, and tends to fail at the worst possible time. If your system is due a service, or you have a heat pump that has not been looked at in a while, get it booked in with engineers who service the systems they install and stay reachable afterwards.

You can handle the basics: clearing the outdoor unit, checking pressure, bleeding radiators and reporting faults. The sealed refrigerant circuit is not something to touch, and opening it would invalidate your warranty. The professional annual service is a separate, qualified job best left to an MCS-registered engineer.

Most air-to-water units are sealed monoblocs, so the routine service is not refrigerant work, but MCS registration is what most manufacturers require to keep the guarantee valid, and what separates a real diagnosis from a tick-box visit.
